This guide describes many phone access
features, including listening to,
saving, forwarding, replying to,
and deleting voicemail. You can
access these features through your
telephone.
If your telephone has a message waiting indicator, you may receive visual
or audio signs, such as a flashing or solid light or a stutter tone when
you lift the receiver, to let you know you have new messages.
These indicators will not stop until you listen to all messages.
If you are on a central campus extension you can manually turn off the indicator by getting dial tone and entering 71#.
Voicemail Enhanced and Unified Messaging users can also access many of these features via email or the web.
Managing voicemail by telephone
To manage voice messages via the telephone, first login to the UniBears voicemail system.
On the UniBears Main Menu,
press 1 to Manage Voice Messages.
Then select Listen to New
(1), Saved (2) or Deleted (3) Messages.
You can always return to the
previous menu by pressing the *
(asterisk) key.
Anytime during playback there are several commands you can use to navigate or change the volume.
Replay the voicemail
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To listen to the current
voicemail again, press 1.
Save a voicemail message
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To save the message, press 2
while listening to it, or after
the system finishes playing it.
Reply to a message
There are two options when replying to a voicemail message:
- reply by calling the sender, or
- reply with a voicemail message

When a person calls and leaves a message, the system captures the Caller ID of the line on which they placed the call. This may not always be the number to which you, the recipient, want to return the call. You may want to choose a different number if:

The caller leaves a different phone number in the spoken message.

The caller is calling from behind a PBX where outbound calls are placed over a shared trunk. In this case, the Caller ID number may be the outbound trunk number, not the individual's inbound phone number.
- The caller says his or her phone number is nnn-nnnn extension nnn, there's a good chance that using the Caller ID capture number will not be the correct number.
- The caller is calling from a phone which has call number blocking, in which case no Caller ID number is received by UniBears.

Reply by calling the sender
Your calling privileges are based upon the service you have. All calls will be charged on your CNS Bill Statement.
Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To reply to the sender of this voicemail, press 4.
- To call back to the sender’s number, press 1. The system will read the number or mailbox name to you.
- Press 3 to listen to the sender's number again.
- If this is correct number or name, press 1 to call the person now.
- If this is not correct, you can press 2 to enter a different phone number.
- After you enter the number, the system will read it back to you. If this is correct, press 1 to call the person now.

After you finish speaking with the person, stay on the line after the person hangs up. You will be placed back into the UniBears system in message review.
Reply to the voicemail using voicemail
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To reply to the sender of this voicemail, press 4.
- To reply to the sender using voicemail, press 2.

Record your message and press # when finished. Then
- To send your message, press #
- To listen to your introductory comment, press 1
- To re-record your introductory comment, press 2
- To set message priority, press 3
- To mark this message as private, press 4
- To request a non-receipt notification, press 5
- To cancel and return without sending your message, press *
The system default for message priority is the Normal priority. If you chose 3 to change this priority
- For High priority, press 1
- For Low priority, press 2
- For Normal priority, press 3

Delete a voicemail message
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To delete the current
message, press 3 while
listening to it, or after the
system finishes playing it. If you are listening to new or saved messages the next message will play if there is one to play.
Deleting a new or saved message moves the message to the deleted message bin. Deleting a message from "deleted messages" permanently removes it from the voicemail system. Messages will automatically be purged from the deleted bin based upon the message retention time for your service. You will be able to retrieve your deleted messages until they are purged.
Forward a message
Forward a voicemail to a UniBears extension
When you forward a voicemail, you must record an introductory remark.
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To forward the message,
press 5.
- Enter the 5-digit UniBears
extension to which you want
to forward the message, then
press #.
You can enter multiple
extensions each followed
by #, and end the list with
#.

Record your introductory comment and press # when finished. Then
- To send your message, press #
- To listen to your introductory comment, press 1
- To re-record your introductory comment, press 2
- To set message priority, press 3
- To mark this message as private, press 4
- To request a non-receipt notification, press 5
- To cancel and return without sending your message, press *
Forward a voicemail using dial by name
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To forward the message, press 5.
- To dial the forwarding extension by name, press 2.
- Enter the first 4 characters of the person's last name. If your entry matches more than one person, the system will read the list of matched names to you and you can select the person to whom you wish to forward this message.
Forward a voicemail to a personal group
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To forward the message, press 5.
- To forward to a personal group, press 3.
- Enter the group number. The system will read th group name to you.
Forward a voicemail to a personal contact
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To forward the message, press 5.
- To forward the message to a personal contact, press 4.
- Enter the first 4 characters of the person's last name. If your entry matches more than one person, the system will read the list of matched names to you and you can select the person to whom you wish to forward this message.
Forward a voicemail and attach a voice comment
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To forward the message, press 5.
- Enter the extension, or dial by name.
- To record a voice comment and attach
it to the original voicemail, press 2.
After recording the introductory message, you can choose
- To send your message, press #
- To listen to your introductory comment, press 1
- To re-record your introductory comment, press 2
- To set message priority, press 3
- To mark this message as private, press 4
- To request a non-receipt notification, press 5
- To cancel and return without sending your message, press *
The system default for message priority is the Normal priority. If you chose 3 to change this priority
- For High priority, press 1
- For Low priority, press 2
- For Normal priority, press 3
Play the envelope information
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To play detailed information about the
current voicemail, such as when the
voicemail was sent, who sent the
voicemail, and the subject of the
voicemail, press 8.
Skip to the next voicemail
- Access your mailbox,
press 1 to enter the Manage Voice Message menu,
and choose 1 to listen to new messages,
choose 2 to listen to saved messages, or
choose 3 1 to listen to deleted messages..
- To skip to the next voicemail, press #. This will keep this message marked as unread and it will remain in your new messages mailbox (inbox).
